Making a professional first impression is essential for any business. Whilst we never advocate trying to appear as something you’re not (if you’re a small business, there’s no need to pretend to be a conglomerate!!), when potential clients and customers look at your brand, you want them to feel confident in your expertise and trustworthiness.
Also, some professional touches can help you to feel pride in your business.
Here are a few ways to make your business look professional, none of them ‘break the bank’ and all of them are achievable.
Email with Your Domain & Professional Email Footer
Your email address is often the first point of contact with clients, so it’s important to make sure it looks professional. Using an email service such as Gmail, Hotmail or Outlook for business can look unprofessional. Instead, invest in a custom domain and set up email addresses with that domain. This small change can make a huge difference in how clients perceive your brand.
A custom domain for business email typically costs between £1 and £15 per year for the domain registration itself.
Another tip is to add a professional email footer. It is good to include your name, job title, company name, contact information (phone, website, social media handles), and any relevant logos. Most email systems make this very easy to achieve – often found in the ‘signatures’ option.
If this sounds a bit too techy….a VA can help!
Keep Your Website Updated
If you have a website (we do recommend having one, even if just a simple 1-pager) invest time in keeping on brand and up-to-date. You could add new content on a blog page on a regular basis, and ensure that your services and prices are up to date
Many website providers (WordPress, Wix etc) have very user friendly platforms so once your site is live, they are easier than ever to update.
VA’s often help clients to update their websites
Consistent Branding
Consistency is key when it comes to branding. This means using the same colour pallets, fonts, and messaging across all marketing materials.
A strong brand can help you build recognition and trust with customers. It also makes your business look more established and professional. Tools like Canva allow you to save brand toolkits so everything you produce is automatically consistent.
If you don’t have brand guidelines ask your VA to help you develop them – it saves so much time in the long run and helps you to look professional.
Other Little Details That Make a Difference
Sometimes the little details have a big impact.

These small gestures show that you care and can help you stand out from the competition.
Blinq Digital Business Cards
Whilst I still encourage clients to have a small stash of traditional business cards, digital world offers us some great options for digital cards, which allow you to share your contact information with a simple tap of your phone.
Blinq is a provider that I recommend. The digital cards are a great option because they look professional and can be easily customised with your brand. You can include your name, job title, company name, contact information, social media links, and even a brief bio. Plus, they’re environmentally friendly!
Hire a Virtual Assistant
Hiring a Virtual Assistant (VA) can be an excellent way to elevate your business and you’ll have someone on hand to implement the tips we’ve shared.
A VA allows you to operate as a team and delegate tasks that you don’t have time for. This can free up your time to focus on strategic tasks and growing your business.
